An organization can make a tremendous mistake by adopting a rigid structure. Flynn (2017) stated that the success and effectiveness of an organization is dependent upon the interaction of the system with its environment. Environments are dependent on multiple variables which ensures that an organization will need to accommodate rapid change. Leonard (2019) cited that open system theory recognizes that any system is assembled by many parts that share resources or data internally, and with its external environment. Furthermore, open systems receive input from the environment either as information or in the form of resources. The systems then process the input internally, which is called throughput, and release outputs into the environment in an attempt to restore equilibrium to the environment (“Mastering Public Relations,” n.d.). Simply, open systems are responsive to environmental changes, which is a necessary component in modern organizations. As mentioned previously, responsiveness to stakeholder needs is imperative, as a result, open systems theory is worth using in an organization.

Open systems theory provides an understanding of how the environment influences organizations and the interconnectedness of the environment and organizations. According to Jung and Vakharia (2019), organizations have demonstrated both financial and non-financial success by embracing the open systems theory, and executing accordingly. This is not to say however that open systems theory is without challenges, though the fundamental understanding is somewhat well known. According to Pfeffer and Salancik (2003), the most significant problem in open systems theory is the compliance to the needs or demands of the outside world and the perceived or real dependence on external factors. Another challenge is the overall complexity of association, associating every environmental component to an influence on the organization. This also raises the question of what influence the organization holds over the community and how that alters the organization in return. All of these challenges create an extremely challenging decision-making environment for any organization’s leader, decisive action would require an abundance of consideration over the second, third, and fourth-order effects. With this in mind organizational speed could be diminished greatly.

Leonard (2019, p. 1) pointed out that open system theory is a biological theory that has been added to business organizational structure theories. This may be odd that biology has anything to do with business, but the theory recognizes that any system is assembled by many parts that share resources or data internally, and with its external environment. Open system theory refers to how an organizational structure affects the flow of information and interaction internally and with the external environment. The significant issues that would happened when using open systems theory are specific and general environmental influences. Sherman (2019, p. 1) found out that specific influences are the people and groups every organization deals with on a daily basis: customers, suppliers, distributors, regulators and competitors. The law and politics are the next general environmental influences. Socially, it’s unacceptable for any organization to discriminate against gender, religion, race, and ethnicity, and today discrimination of any kind is a violation of federal law. It’s worth using this theory in an organization. Sherman (2018, p. 1) indicated that the theory gets a more realistic image of the pressures on you, your company and your employees. The theory considers how the finished product will perform in the marketplace, which is ultimately the most important thing.

To understand the suggestions made that open systems theory creates problems it is first necessary to understand the positive aspects of open systems theory. During an era when bureaucratic organizations with all of the characteristics of a closed system existed for many years, another system arose that was dependent on the environment instead of being isolated from it like the bureaucratic closed systems were. While bureaucratic systems were not as dependent on their environment open systems cannot successfully exist without dependence on their environment. Flynn (2017) postulated that by depending on the environment more focus was placed on ensuring that the tasks and activities that were important for the business to be successful were achieved and also that methods were in place to achieve those goals. The closed bureaucratic system was only interested in producing numbers without focusing on the process or the system as much as on staff being productive by adhering to the rules and guidelines that were already in place and not deviating from them. The open systems theory focused on both the external and internal organizational environments.
So, thinking of open systems theory from the perspective that it focuses and depends on the organizational environments it may appear that open systems theory did not really create problems as suggested by people in the field, but instead was the answer to an organization’s problems that were created by the one size fits all type of systems that were in place previously. It would actually be great if the open systems theory did come without any problems associated with it but instead, there were still some significant problems that could arise when using open systems theory. One of the arguments made by Dutt et al. (2016) is how there are some organizations that have limited environments that cause their operating system to be weakened (p. 820). Not only was their operating system weakened but more specifically it was weakened financially. Another example of a problem that could arise is an external environment problem mentioned by Daft (2021) concerning a company by the name of Waymo (p. 147). Waymo was operating a self-driving van and while the van was at an intersection someone slashed the tire on the van. That was only one incident of many incidents that occurred because people were afraid of the unknown. They were experiencing an external environment problem.
Given the problems that were mentioned it is worth using open systems theory in an organization because, for one reason, open systems theory focuses on both the external and internal environment. For Waymo taking the time to address their external environmental problem by perhaps having a Town Hall type of meeting to explain the vehicle to the residents of the city so that their fears would have been addressed their external problem may have at least been alleviated if not altogether eliminated. Another positive to using open systems theory is again mentioned in an example given by Daft (2021) stating that there were some food companies like Kraft, Kellogg, and General Mills who were experiencing a decline because they failed to pay attention to the demands and needs of the consumer. Not making internal changes that would address the external environmental needs was affecting them negatively. It is again worth stating that yes, it is worth using open systems theory in an organization because focusing on both the external environment, for example, the consumer, and the internal environment of the organization helps the organization to compete in an ever-changing time. While that does not mean that the environment is always stable, as mentioned by Daft (2021) the environment can be unstable and that can also cause the organization problems as it did for some toy companies, so some toy companies decided to reach out to other companies like Walmart and Amazon as an avenue to sell its toys (p. 155). As stated by Jung and Vakharia (2019) when organizations like the toy companies centralize, formalize, and link with other companies like Walmart and Amazon it aligns them with the open systems theory (p. 264).

Daft’s (2021) open systems theory says that things like cultural values, the economy, the legal environment, and the quality of education influence how well an organization performs. Weber and Waeger (2017) thinks of organizations as systems in open systems that interact with and are affected by signals from their surroundings. Thinks of a company as a processing unit that keeps boundaries. based on communication systems and cybernetics theories.
Creating a connection or relationship between the performance of the internal organization and the external environment is one of the main issues faced by open systems theory. Environmental elements that are either specific or general have an impact on open systems. The “particular environment” refers to the network of vendors, distributors, governing bodies, and competitors with whom a corporate entity interacts. The general environment is made up of the four outcomes that result from the area in which the organization operates. According to the Encyclopedia of Small Business, Business Biographies, Business Plans, and Encyclopedia of American Industries, any modification or alteration to the four external elements may result in disruptions in the organization (n.d).
Open systems theory is worth implementing in an organization given the external and internal challenges in the current business environment because it could result in effective conflict resolution strategies with wider communication pathways, reforming the boundaries of the business, and raising standards of quality which in turn link the human situation to systems theory. As an illustration of open systems theory, think of the paper industry, which is impacted by both internal and external factors (recycling paper) and environmental protection. The paper industry still operates despite facing both internal and external issues. This demonstrates that open systems theory is still applicable and valuable in the corporate world of today.

Open systems theory is where organizations use their external environment and decide on their plans and strategies. This is different from the traditional systems followed where organizations only think about their internal structure . In open systems theory environment, competitors and market play an important role. However this theory has some problems like management neglecting the internal departments and internal problems which might be a problem for the organizations. This also creates internal conflicts and dissatisfaction among employees. However this theory helps the organization in facing the competition and sustain in the market for a long time. Therefore open systems theory is worth the problems it creates and must be implemented in an organization.
Giudici (2018), said it best that We found this setting attractive because orchestration processes are central to how these organizations add value for their members, and are therefore more “transparently observable”. Jung, (2019) referenced the Open systems theory as, or seeing an organization as an open and networked structure that is part of and affected by external environments, can offer a new organizational structure model for arts and cultural organizations that can lead to enhanced performance both in financial and non-financial areas.
In conclusion the open systems theory has aspects that are critically important to the various systems that include the boundaries, external environment and equifinality. Dynamics from other systems can move an organization and create an expanding the number of variables. This type of caliber theory creates a dynamic and complex system. Leadership in an open system focuses on influence and patterns rather than control over the organization. Overall, I think this open systems theory is important and can be adopted by any organization to better assist the organization and thrive.
